- Excellent English verbal and written communication skills
- Competent with technology including experience with Slack, Teamwork and Google Workspace and the ability to learn company-specific software if required
- Flexible & entrepreneurial approach to all work
- A very 'hands-on' approach and able to think outside the box
- Proactive problem solver
- Ability to prioritise, be proactive and demonstrate self-initiative

Responsibilities include but not limited to:
- Diary management - meetings, video-calls and appointments, create agendas and itineraries
- Acting as a gatekeeper to the Founder and directors
- Booking and arranging travel, transport and accommodation
- Reminding the manager/executive of important tasks and deadlines
- Onboarding new clients ensuring everything is received from client and set up correctly
- Assisting with the running of client projects
- Minutes and actions of meeting including team stand ups
- Liaising and sourcing external partners
- Implementing and maintaining procedures and administrative systems
- Updating and setting up Teamwork and Slack for client and internal projects
- Document formatting and creation
- Presentation deck creation
- File management and organisation
- Proofreading/quality checking documents
- Conducting or preparing any research
- Managing ad hoc projects
Technical must-haves
- General understanding of the principles and processes involved in an executive assitant role
- Proficient in Google Workspace tools
General must-haves
- Excellent written, verbal and negotiation skills. You’re pretty comfortable with communicating (often sensitive) information tactfully.
- Ability to compose professionally constructed documents and presentations for internal and external viewing.
- A hands-on and positive approach to problem solving; identifying issues and using your initiative and available resources to generate ideas and solutions.
- A no nonsense approach to dealing with day to day business, people and providers
Must be
- Positive and enthusiastic.
- A great relationship developer - you’re a dab hand at building rapport with both colleagues and clients.
- Sharpe eyed when it comes to detail, especially when applying individual processes and procedures.
- A real team player, contributing to best practice and sharing knowledge, resources and ideas, but comfortable working alone when required.
- Brilliant when it comes to organisation and personal time management in order to deliver projects to mutually agreed timelines.
- Practical and level-headed with the ability to manage multiple projects at once and to react quickly when needed.
- Hardworking and flexible with a willingness to work outside ‘normal’ working hours when required. (This isn’t a regular thing but it can happen every so often).
- Keen to progress and develop.
- Ability to travel both nationally and internationally on short notice.
- Willing and able to work up to 3 days a week in our Gatwick office
